Matt, according to the latest HO guidelines, electronic forms, email, fax are acceptable ways of notifying.

Does it mention about keeping records of emails?

Found the mention in the guidance but of note and following on from a thread about who writes a firearm on the buyer's FAC:
HO Guidance 2014, Section 5.19 wrote: Section 33 of the 1997 Act requires that, within seven days of the transaction, the transferor
and transferee must send, electronically (for example, by e-mail or fax) or by recorded or
special delivery, notification to the chief officers of police who issued their own certificates.
The transferor is the person who originally possessed the gun, and the transferee is the
recipient (and it is the transferor who must write the details of the gun and its transfer onto
the certificate of the transferee).
So if Joe FAC holder sells a rifle on here (for instance) and has to give it to his RFD to send across country to the buyer's RFD, it is not the RFDs who fill out the FACs.

If I sell you a gun, I then transfer it to my RFD, who transfers it to yours, who transfers it to you.
I tell my flo it's been transferred to mine. You tell yours you received from yours. Simple.

I think people get confused as the money changing hands is one transaction. The seller then pays the RFD to take off his ticket and send to the other RFD, that's the first transfer. The next transfer is when the receiving RFD takes possession of it. The third transfer, is onto the buyers fac. So, in effect, for one 'transaction' there are three 'transfers'

Now, if I sold you a gun, and you send me your cert, I then write it on your ticket and send back to you, my RFD is just posting, as I can't post direct to you, your receiving RFD checks that the gun is on your fac, and hands it over.
The second scenario is the same as dropping your gun to an RFD for work, you don't need to inform the police about it, but, the RFD still needs to see your fac to return it to you.
